We collect only the information necessary to provide and improve our services. We do not collect sensitive financial data directly — credit card details and similar regulated information are automatically handled through secure third-party processors.
How We Use Your Information
We use the information we collect to:
- Provide and operate our managed AI services on your behalf.
- Communicate with you about appointments, service updates, and support requests.
- Improve our AI systems and the quality of responses they generate.
- Send service-related emails including booking confirmations, conversation transcripts, and escalation notifications.
- Respond to your inquiries and fulfill requests you initiate.
We do not use your information for purposes unrelated to delivering and improving our services. We will not send unsolicited marketing without your consent.
AI and Data Processing
Ochre Sail is an AI-powered platform. To provide our services, your data is processed in the following ways:
- AI response generation: Conversations are processed by Anthropic Claude, a large language model, to generate responses on behalf of your business. Conversation content is transmitted to Anthropic's API for this purpose.
- Tenant-specific workflows: Your business data and preferences are used to configure and personalize the AI workflows operating under your account.
- Automatic redaction: Credit card numbers, bank account details, and similar sensitive financial data are automatically detected and redacted before reaching AI processing systems. This data is never stored or transmitted in plain text.
AI processing is used solely to deliver the services you have contracted for. We do not use your data to train AI models beyond what is necessary for your service.
Data Sharing
We do not sell your personal data. We share data only as necessary to deliver our services, with the following trusted third-party processors:
- Anthropic — AI language model processing for response generation.
- Resend — Transactional email delivery (confirmations, transcripts, notifications).
- Vercel — Cloud hosting and content delivery for the Ochre Sail platform.
- Supabase — Managed database infrastructure for storing account and conversation data.
Each processor is bound by its own privacy and data protection policies. Data shared with these providers is limited to what is strictly required for their specific function.
Data Retention
We retain your data for as long as necessary to provide our services and meet legal obligations:
- Chat conversations: Retained according to each tenant's configuration. The default retention period is 365 days.
- Appointment records: Retained for 2 years from the date of the appointment.
- Contact information: Retained while your service is active. Following account closure, contact data is deleted within 90 days unless a longer retention period is required by law.
You may request early deletion of your data at any time by contacting us at sailor@ochresail.com.
Your Rights
You have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request that inaccurate or incomplete data be corrected.
- Deletion: Request that your personal data be deleted, subject to any legal retention requirements.

- Data export: Request an export of your data in a portable format.
